1. Who is responsible for your data
WISE ASSIST is provided by [Linköping University / WISE].
WISE
Bredgatan 33, 602 21 Norrköping SWEDEN
Sweden
For general questions about how LiU processes personal data, see LiU’s central privacy policy. For questions specific to WISE ASSIST, contact assist@wise-materials.org].
2. What we collect
- Account data: name, email, and login credentials when you register.
- Project data: the research project(s) you create or are added to, and the “framing” answers (project description, sustainability target, application, substitution effect, supply chain) submitted through the Framing form.
- Form answers: your answers to the six WISE ASSIST focus-area forms (Sourcing of materials, Material criticality, Resource efficiency, Enabling circularity, Environmental pressures, Environmental and societal risks).
- AI feedback usage: which features you use and how often (see Section 4).
All of this requires you to be logged in — nothing described below is collected from anonymous visitors.
3. How the AI feedback works
When you request AI feedback, your submitted answers — together with your project’s framing text — are sent to an AI service (built on OpenAI’s models) to generate a question or written feedback. This happens in three ways:
- Chat (per-question “Get AI Feedback” button): your answer to a single question, plus your project framing, is sent to start a short back-and-forth conversation.
- Section report: all your answers for one focus area are sent together for written feedback on that section.
- Full report: all six focus areas’ answers are combined and sent for a single comprehensive report.
In the section and full report cases, the AI may also use web search to help generate its response.
4. What we store, and for how long
- Chat conversations are held temporarily by our AI service in memory only, and are automatically discarded after a period of inactivity (currently 24 hours) or once the service restarts. They are not written to a database.
- Usage counters (how many times you’ve used chat, section reports, or full reports) are stored indefinitely against your account and project, but contain no answer text or AI-generated content — only counts.
5. Third parties who process your data
- OpenAI (the underlying AI model provider), which processes the text described above to generate feedback. OpenAI is based outside the EU/EEA; [confirm the applicable transfer safeguard, e.g. Standard Contractual Clauses, is in place].
- We do not sell or share your personal data with any other third party.
6. Cookies and sessions
WISE ASSIST uses standard WordPress login/session cookies to keep you signed in, and a security token (nonce) to verify that requests to our AI feedback endpoints genuinely come from your logged-in session. No advertising or tracking cookies are used.
7. Your rights
Under GDPR, you have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your data (subject to legal/record-keeping exceptions).
- Object to or restrict certain processing.
- Receive a copy of your data in a portable format.
To exercise any of these rights, contact assist@wise-materials.org.
8. Security
Access to all AI feedback features requires a logged-in account with appropriate permissions. Communication between WordPress and the AI service is authenticated with a shared secret, and is not exposed publicly.
9. Changes to this policy
We may update this policy as the tool evolves. Material changes will be announced on this page with an updated “Last updated” date.
